SOLUTION · FINANCE & ADMIN

Finance and admin automation for repetitive business workflows.

Finance and admin automation removes the repetitive parts of invoice, expense, supplier, debtor, approval, and reconciliation work — capturing and routing the information automatically while a person keeps review over anything that affects money or compliance. We improve the flow around the tools you already use before suggesting you replace anything.

WHERE THE TIME GOES

The work that quietly costs your finance team hours.

  • Repetitive capture: the same invoice, expense and supplier details retyped into more than one system.
  • Chasing approvals: invoices and expenses stuck waiting because nobody knows whose turn it is to sign off.
  • Month-end retyping: numbers copied by hand between spreadsheets and the accounting system to get the books closed.
  • Reconciliation by hand: matching statements and transactions line by line, late into the day.
  • Slow supplier and debtor follow-up: reminders that depend on someone remembering rather than a reliable process.

None of this needs AI to fix. Most of it is repetitive capture and routing that a well-designed, controlled automation handles reliably — freeing your people for the judgement calls that actually need them.

WHAT WE AUTOMATE

Repetitive finance and admin tasks, handled consistently.

Invoice intake and approval routing

Supplier invoices are captured from email or upload, matched to the right cost owner, and routed for approval in order — instead of sitting in an inbox until someone chases them.

Expense capture and checks

Staff expenses and slips are captured, sorted and checked against simple rules, so finance reviews the exceptions rather than retyping every line.

Supplier and debtor follow-ups

Routine reminders to suppliers and overdue debtors go out on a schedule with a clear record of who was contacted and when, so follow-up stops depending on memory.

Reconciliation preparation

Statements and transactions are gathered and lined up ready for matching, so the person doing the reconciliation starts from a prepared view instead of a blank screen.

Recurring admin tasks

The repeating monthly admin — pulling reports, filing documents, updating trackers — runs to a checklist so it happens consistently and on time.

WHAT WE DO NOT AUTOMATE

Money and compliance stay under a person.

Automating the capture and chasing is sensible. Automating decisions about money is not. We draw a clear line and keep a human approver on anything that could move funds or affect your records.

Releasing payments

Automation can prepare and queue a payment, but a named person authorises every payment that leaves the business.

Banking and supplier detail changes

Any change to banking or beneficiary details is flagged for human verification — this is exactly where fraud happens, so it never runs unattended.

Anything affecting the books or compliance

Postings to the ledger, tax-relevant entries and audit-sensitive records stay under the eye of the person accountable for them.

WORK WITH WHAT YOU HAVE

We improve the flow around your existing tools.

Aitsa is not an accounting-software reseller. Whatever you run today — Sage, Xero, Pastel, a banking portal, email, shared drives, or a stack of spreadsheets — the friction usually sits in the handoffs between those tools, not inside the tools themselves.

So we map the real workflow first, then automate the capture, routing and follow-up around your current systems. You keep the software your team knows and the records auditors expect. Replacing a tool is only ever a recommendation when it is clearly blocking the business — and the decision stays with you.

If a step is genuinely repetitive but can be made reliable with simple automation, that is where we start. We only reach for AI where reading documents, classifying, or summarising actually improves the workflow — and never to make a decision about money on its own.

MEASUREMENT & CONTROLS

You should be able to see the difference.

Time saved

Hours given back on capture, retyping and chasing each month.

Fewer errors and less rework

Cleaner data going in means fewer corrections and re-sends later.

Faster close

Reconciliation and month-end move quicker because the prep is already done.

Clear audit trail

A record of who approved what and when, ready for review or audit.

We agree these measures during the AI Process Audit, so the result is judged against your own process — not a generic benchmark. This page focuses on finance and admin flow; for document-heavy capture see document processing automation, and for the wider discipline see Business Process Automation.

Common questions.

Do you replace our accounting system?

No. We are not an accounting-software reseller. We improve the workflow around the system you already run — whether that is Sage, Xero, Pastel or a spreadsheet-and-email setup — so capture, routing and follow-up stop eating your team's day. Replacement only ever comes up if the current tool is genuinely holding the business back, and even then it is your decision, not our default.

Is it safe for payments and banking details?

Yes, because we deliberately keep money-movement under human control. Automation prepares, captures and routes the work, but a person still authorises payments and signs off on any change to banking or supplier details. We build the controls and audit trail so that nothing affecting your bank account happens without a named approver.

What stays under human review?

Anything that touches money or compliance: releasing payments, changing supplier or beneficiary banking details, posting to the books, and resolving exceptions the system is unsure about. The automation does the repetitive capture and chasing; your finance person keeps the decision and the final approval.

Can it work with our current tools?

That is the starting point. We map how your invoices, expenses, approvals and reconciliations actually flow today, then automate around your existing accounting and admin systems, email and storage. We work with what you have before suggesting you change anything.

How do we measure the benefit?

We agree the measures up front — usually hours saved on capture and chasing, fewer errors and less rework, a faster month-end close, and a cleaner audit trail. Because the workflow is mapped before we build, you can see the before-and-after on the same process rather than relying on a vague promise.
