AI PROCESS AUDIT · FREE · REMOTE

A free audit to find where AI or automation can actually help.

The AI Process Audit is a free, one-hour working session where we map one real workflow with you, find where time, errors, rework, delays, or manual effort are costing the business, and decide honestly whether automation, AI support, process improvement, or no action is the right next step.

WHAT IT IS

A working session, not a pitch.

You sit down with us for about an hour and we map one real workflow together, step by step, the way it actually happens in your business. We are looking for the points where time, errors, rework, delays, or repeated manual effort quietly cost money or create risk.

It is process-first and automation-led. We diagnose the workflow before we recommend a build, we automate the predictable parts where that is enough, and we only bring AI in where it genuinely makes the work better. The whole hour is spent on your operation, not on a slide deck. You leave with a clearer picture whether or not you ever work with us. To see how we approach delivery, read our process.

WHO IT IS FOR

For the people who own the work.

The audit is built for South African business leaders who feel operational friction but are not yet sure what to fix first.

01

SME owners & MDs

Owners and managing directors who can feel that the business is leaking time and margin but want a clear diagnosis before spending on tools.

02

Operations managers

The people who run the day-to-day workflow and know exactly where the bottlenecks, hand-offs, and exceptions sit.

03

Finance & admin leads

Teams buried in reconciliations, capturing, approvals, and reporting where errors and rework are easy to measure.

04

Sales & customer leads

Anyone losing deals or response time to slow quoting, manual follow-up, or inconsistent customer handling.

05

Process owners

The person accountable for a specific workflow who wants it mapped, ranked, and given an honest next step.

06

Founders weighing AI

Founders who keep hearing about AI and want a grounded view of where it would and would not earn its keep.

WHAT TO BRING

Just one workflow that nags at you.

You do not need to prepare a document. Bring one real workflow that feels manual, slow, repetitive, inconsistent, or hard to control, and the person who actually runs it. A few concrete South African examples of what fits:

01

Quote-to-invoice

A sales team re-keying quotes, purchase orders, and invoices across email, a spreadsheet, and Sage or Xero, with errors creeping in at each hand-off.

02

Supplier & PO capture

An admin clerk manually capturing supplier invoices and delivery notes, matching them to orders, and chasing approvals before payment.

03

Customer enquiries

Inbound enquiries arriving across email, web forms, and messaging that get triaged by hand, with slow or inconsistent first responses.

04

Job cards & dispatch

A workshop or logistics team capturing job cards, scheduling, and proof of delivery on paper or in WhatsApp, then re-entering it later.

05

Compliance & reporting

A finance or ops lead pulling the same monthly figures from several systems by hand to build a board or SARS report.

06

Onboarding & approvals

A new-client or new-staff onboarding chain with forms, sign-offs, and document collection that stalls when one step is missed.

HOW IT RUNS

Before, during, and after the call.

  1. 01

    Short prep

Before the call we ask a few light questions so we know which workflow we are looking at and who owns it. No homework, no forms to fill in.

  2. 02

    Live workflow mapping

On the call we map the workflow with you, step by step, as it really runs today, marking every hand-off, manual touch, and point where things wait or break.

  3. 03

    Pain, value & ROI assessment

We work through where the time, errors, rework, and delays actually cost money, and estimate the realistic value of fixing each one so opportunities can be ranked.

  4. 04

    Automation & AI fit review

We separate what should simply be automated from where AI genuinely helps, with human review kept on anything that affects money, customers, or compliance.

  5. 05

A short written summary, where useful

Where it adds value we follow up with a short written summary or a fixed-scope proposal. Where the verbal map and recommendation are enough, we will not manufacture paperwork.

WHAT YOU RECEIVE

Something useful to keep.

01

A clear map of one workflow

Your workflow drawn out end to end, with every step, hand-off, and friction point visible in one place, ready to share internally.

02

Ranked opportunities

The improvement points ordered by realistic value and effort, so you can see what is worth doing first and what can wait.

03

An honest go / no-go

A straight recommendation on whether automation or AI is worth it here, including the cases where the honest answer is not yet.

04

A sensible first scope

If a build makes sense, a practical first scope with clear controls and ownership, the kind that turns into a fixed-scope Automation Sprint.

THE HONEST ANSWER

Sometimes the right answer is no.

Not every workflow needs a build, and definitely not every workflow needs AI. Sometimes the right answer is a simpler process, clearer ownership of a step, or solid automation before AI is even on the table. When that is the case, we will say so plainly rather than sell you something that will not create meaningful value.

We also keep human review on anything that touches money, customers, or compliance. The goal is a controlled, measurable improvement you own with confidence, not a clever system nobody trusts. If automation is the right path, our process automation work is where that usually starts.

PRIVACY & DATA

Keep your sensitive data protected.

The audit is a conversation about how work flows, so you almost never need to share real customer records, financial data, or identifiable personal information to get value from it. Please do not send sensitive data before the right boundary is in place, such as a signed agreement and a clear processing arrangement.

We are POPIA-aware and treat anything you do share as confidential. If a later build requires real data, we will agree the controls and boundaries first. You can read how we handle information in our privacy notice.

Common questions.

What happens in an AI Process Audit?

We spend about an hour together on a remote call mapping one real workflow end to end. You walk us through how the work actually happens today, and we mark the steps where time, errors, rework, delays, or manual effort show up. From that map we assess where automation or AI would add value, where a simpler process is the better fix, and what a sensible first scope looks like. It is a working session, not a presentation.

Is the audit really free?

Yes. The audit is free while we are building proof and case studies. There is no obligation to implement anything afterwards and no scarcity gimmicks. The honest reason it is worth our time is that a clear workflow map is the only responsible starting point for any later work, and some audits will end with us telling you that no build is needed yet.

What if AI is not the right solution?

Then we say so. Plenty of workflows are best fixed with simpler automation, a clearer process, or better ownership before AI is worth considering. We only recommend AI where language, documents, classification, summarisation, decision support, or exception handling genuinely make the workflow better. An honest no is part of what you are paying nothing for.

Do you work with our existing tools?

Usually, yes. We fix the workflow first and then choose the simplest reliable implementation, which often means building around the systems you already run rather than replacing them. We treat tools as implementation details that come after the business problem is clear, not as the starting point of the conversation.

What happens after the audit?

You receive a clear map of the workflow, ranked opportunities, an honest go/no-go, and a sensible first scope. If a build makes sense, we can prepare a fixed-scope proposal for an Automation Sprint. If it does not, you keep the map and the recommendations and decide in your own time. There is no pressure to move forward on the call.
