/SERVICE 05
Controlled AI Implementation
AI integration is useful only when the workflow around it is controlled. We define the inputs, outputs, review points, ownership, and fallback path before anything goes live.
● For workflows where AI is moving from experiment to operational responsibility.

WHAT IT IS
Implementation for AI-enabled workflows that need to operate inside a real business, with data access, controls, measurement, and support designed from the start.
WHAT WE IMPROVE
Concrete workflow changes. No theatre.
/BUILD 01
Workflow architecture showing inputs, outputs, permissions, and hand-offs
/BUILD 02
POPIA-aware data access with only the fields the workflow needs
/BUILD 03
Fallback handling so a failed AI step does not break operations
/BUILD 04
Usage, cost, quality, and exception reporting for management
WHO IT'S FOR
If two of these sound familiar, start with the audit.
- –Companies with AI licences but no operational implementation plan
- –Teams that need audit trails around customer or business data
- –Leadership groups that want AI inside operations, not as a side experiment
COMMON QUESTIONS
Straight answers before you book.
- What is AI integration?
- AI integration is the work of placing an AI step inside a real business workflow with defined inputs, defined outputs, and a named owner, so it carries operational responsibility instead of sitting in a sandbox. It means deciding exactly what the AI sees, what it is allowed to do, where a person reviews its output, and what happens when it is unsure. Done properly, it turns an AI experiment into a controlled part of how the work actually runs each day.
- What happens if the AI gets something wrong or fails?
- It falls back to a defined safe path, usually routing the task to a person or holding it for review rather than acting on a low-confidence answer. We design that fallback handling before go-live: confidence thresholds, exception queues, and a clear record of what the AI did and why. The aim is that a failure becomes a flagged exception a human handles, not a silent error that reaches a customer or a ledger.
- Is AI integration POPIA compliant?
- AI integration can be built to support POPIA compliance, but it depends on what personal information the AI touches and how that data is accessed, stored, and shared. We design with POPIA in mind from the start: limiting the data the AI can see to what the task needs, controlling where that data is sent, and keeping a record of how it is used. Compliance remains your responsibility as the operator, so we keep the data flows visible enough that you and your advisors can check them.
- How much does AI integration cost in South Africa?
- AI integration is delivered as a fixed-scope Automation Sprint from R 12 500, with a 50% deposit and the balance on implementation, so the build cost is agreed up front rather than left open-ended. Before go-live we also cap running cost and quality: the AI only runs on the steps that justify it, with review points and sampled outputs built in. We track where a person had to correct the AI and report usage, so both cost and quality stay visible over time.
- Will AI integration replace my staff, and when is it not the right move?
- No, it is built to take repetitive checking and processing off your team, not to replace the people who handle judgement, relationships, and exceptions. It is also not always the right move: if the underlying process is unclear, the data is messy, or simple automation would do the job on its own, we will say so and recommend fixing that first. We only put AI into a workflow where language, documents, classification, or decision support genuinely make it better, and we give an honest go/no-go before any build.
HOW WE ENGAGE
Start small enough to prove value. Build only when the case is clear.
The audit is designed to be useful on its own. If the business case is strong, we scope a focused sprint. Ongoing support comes only after the workflow is live, owned, and worth improving.
- –Map one real workflow live
- –Identify delays, errors, rework, and manual effort
- –Separate process issues from automation opportunities
- –Honest go / no-go recommendation at the end
- –No commitment to proceed
- –Everything in the Audit
- –Simplify and automate the repeatable steps
- –Use AI only where the workflow genuinely needs it
- –Team handover and ownership session
- –30 days of cover after we ship
All pricing in ZAR, excluding VAT. Fixed-scope, no surprise invoices.
Early clients help us build proof, but every recommendation still has to make business sense.
